Manual ledger calculations
Customer credit, received payments, balances, and due dates depended on handwritten registers and repeated calculations.

Retail
A fully offline digital ledger and staff management app for customer credit, payments, expenses, payroll, reminders, PDF reports, and secure local backup.
The challenge
Small business owners were maintaining customer credit, received payments, daily sales, expenses, and staff salary in notebooks or scattered records. Manual calculations made pending balances difficult to track, records hard to search, and reliable reports or recovery after data loss nearly impossible without a dedicated offline system.
Customer credit, received payments, balances, and due dates depended on handwritten registers and repeated calculations.
Salary, attendance, overtime, advances, bonuses, deductions, and expense recovery lacked one connected workflow.
Searchable history, reports, secure access, backup folders, and safe restore controls were not available.
Design principle
One reliable operational record before more automation.
Our contribution
VedaTech designed and developed a fully offline Flutter application for Android. It combines multiple khata books, customer ledgers, staff payroll, attendance, expenses, reminders, PDF reporting, PIN and biometric security, master-key activation, local image storage, and rollback-protected backup and restore without any backend or internet dependency.
Customer creation, contact import, search, sorting, running balances, You Gave and You Got entries, notes, dates, due dates, and bill images.
Multiple khata books with daily sales, standalone expenses, dashboard insights, charts, filters, and balance-based sorting.
Staff profiles, daily, weekly, or monthly salary, attendance, half-days, overtime, advances, bonuses, deductions, and recoveries.
WhatsApp and SMS payment reminders with customer, book, business, staff, and payroll PDF statements.
Four-digit PIN, biometric unlock, one-time master-key activation, secure local storage, and no external server dependency.
Full JSON backup to a user-selected persistent folder, attached-image preservation, timestamps, and safe rollback protection during restore.
Before and after
A clear view of the operational transformation from fragmented legacy tracking into one connected working system.
Customer ledger
Credit, payments, and balances were handwritten and manually recalculated.
Each customer has a searchable ledger with running balance, transaction history, due dates, notes, and attachments.
Payments & reminders
Pending payments were difficult to identify and reminders had to be composed manually.
Outstanding balances are visible immediately and WhatsApp or SMS reminders can be shared from the ledger.
Staff & payroll
Salary, attendance, overtime, advances, and deductions were maintained in separate records.
Staff attendance and payroll events share one controlled profile with downloadable statements.
Reports & statements
Customer, book, expense, and payroll summaries required manual preparation.
Customer-wise, book-wise, business, staff, and payroll PDF reports are generated locally and shared directly.
Security & recovery
Registers could be lost and there was no reliable restore or access-control process.
PIN, biometrics, master activation, full-data backups, timestamps, and rollback protection secure local operations.

Project perspectives
“The product was designed around one non-negotiable requirement: the business must keep working without internet access. Ledger, payroll, reports, security, and recovery therefore operate together on the device.”
